Creating Contact Groups or Distribution Lists in MS Outlook

A contact group or distribution list in Outlook gives you a quick way to email a group of people. Its traditional name is the distribution list, but Microsoft has changed it to the Contact Group for the 2010 version of Outlook in

If you regularly email a group of similar people (in the workplace, clubs related to you, family members, etc.), you've probably experienced the nervousness of having a long list of recipients on CC all the time is. Or add BCC I want to send a group email. Imagine how easy it is to engage the recipient in which you want to include the names of all the people involved in the mailing. Welcome to contact groups.

Outlook for 2010 or 2013

1. Create a contact group and name it

A) Click the Contact button at the bottom left of the screen to go to the Contact module

B) In the new group, on the home ribbon, click New Contact Group

C) Enter a name for your group

2. Add Members

a) In the Members group, click the Add Member button on the Contact Group ribbon.

B) Members can be your contacts or new contacts. Clicking from Outlook contacts or the address book will take you to the address book, where you can find and add members like you when you find the email. When you click on the new email contact, a dialog box will appear where you can add a name and email. There is also an option to add a new person to your contacts.

C) In the member group you will also see a button which you can use to delete the members. The delete button also does the same.

3. Save and Close

a) In the Contact Group ribbon, you will find the Save and Close button in the Actions group. You can also use the Alt + S keystroke.

Outlook 2007

If you are working in Outlook 2007 the process is very similar, although now you are looking for a distribution list instead of a contact group.

1. Create a contact group and name it

a) Click the drop-down arrow to the right of the "New" button on your toolbar

B) Select the distribution list from the menu

C) Enter a name for your group

2. Add Members

a) In the distribution list ribbon, in the Members group, click on the Member Select button

B) Check your address book for the people you want to add to the list. Double-click to add each below the box next to the member label. Click OK.

C) If you want to add someone who is not in your address book, click on Add new. This is a great way to add name and email address and add them to your contacts.

3. Save and Close

a) In the Distribution List ribbon, you will find the Save and Close button in the Actions group. You can also use the Alt + S keystroke.

If you see your contacts, you can find the contact by name of your contact group or distribution list. If adding or removing members requires opening it, double-click it. You may know that it is a contact group rather than a regular contact because it is in bold and there is not much information about it.

When you are ready to email a group address the email the same way as any other email because the group name will be saved with all your other contacts.

Save yourself from the hassle of manually adding a recipient to a group email or finding an existing email whose message is "answered", even if it has nothing to do with the old email subject. Remember do not work hard.
